Android functions

The software for your internal package distribution consists of 2 components. The COSYS WebDesk and the mobile app, which can be used on any Android device (optionally also iOS). The mobile app is used to record all processes such as parcel acceptance and delivery. The app is simply installed on any Android device, and it doesn´t matter whether you use the app on a smartphone, tablet or mobile device. If you purchase the mobile device via COSYS, you get it ready-to-use, i.e. already set up and ready to go. Thanks to many practical features, you not only document the entire mail distribution process from receipt to recipient, but also make your daily work easier.

Mail Distribution App Main Menu

After logging in with user name and password, the main menu opens, in which all available modules are listed. Modules are entered by tapping. With each module, a process can be recorded. So for example with the collective acceptance the takeover of many packages from a parcel service.

The settings can be opened at the top right via the three dots. In the settings you will find, among other things: Scan settings, App settings, Settings for specific modules and Connection settings.

Collective reception

The collective reception is a module that can be used optionally. It is mainly used when a CEP service delivers many parcels at the same time. The module is used to ensure that the parcel service delivers the correct quantity. So one simply selects the parcel service and records all parcel codes. In the background, the software counts with a parcel counter and shows how many parcels have been taken over. In this way, the employee can preciselycomprehendwhether the delivery bill of the parcel service is correct and theright amount was delivered.

Parcel acceptance CEP / Assignment

The parcel acceptance CEP/assignment serves both the assignment of all parcels from the collective acceptance and the acceptance of new parcels and subsequent assignment. After new parcels have been entered or parcels from the collective acceptance have been counter-scanned, they can be processed. Via another mask you provide the system with all necessary information such as recipient, sender, order number or packaging unit. In the settings, you have the option of specifying which input fields are to be displayed as mandatory fields and which fields are not to be displayed.

Storage / allocation to load carrier

Following the parcel receipt CEP / assignment, a booking can be made to a storage bin or load carrier. To do this, select what you want to book and then enter the number of the storage bin or load carrier. Here, both a free entry and the storage of fixed storage bins or load carriers with subsequent storage bin scan is possible.

The storage/assignment to load carriers is a module that does not necessarily have to be handled in an extra step. It is also optionally possible to already enter loading equipment or storage bin in the assignment. The recording of storage locations is ideal if, for example, your warehouse is chaotically sorted and you want to find the shipments again with the help of the COSYS Package Management Software. The follow-up processes can be a staged delivery or self-collection (both to be covered in the COSYS app). Combining multiple shipments onto one load carrier (package aggregation) can be used, for example, to avoid scanning each package individually during loading. Simply capture the load carrier to set all packages on the load carrier to loaded status.

Self collection

If an employee comes to pick up his shipments, enter the Self-Collection module. Then first select the employee. To find the employee faster, search either by employee number or name. After selecting the employee, the system will display all the waiting shipments for the employee. To verify that the correct packages are issued, the packages must be scanned again. If an incorrect package is entered here, the device displays an error message and emits a beep.

Once all packages have been entered, the only thing missing is the recipient´s signature. In the last screen of the self-collection, it is also possible to select whether the recipient is a substitute instead of the original recipient. In this case, the plain text and a signature are documented. The signature is recorded directly in the COSYS app on the device in a separate mask. The recipient number, recipient name and the number of packages handed over are also displayed here, so that the recipient can understand what he is signing for. The documentation of an acceptance refusal is also possible without any problems.

Loading

Loading as a preliminary stage of delivery is a process step that is documented with the mail distribution software by scanning a load carrier or individual parcels as loading. For this purpose, the module displays all parcels incl. storage location and load carrier. It is also possible to skip loading as a separate process step and start delivery directly. This is especially the case for smaller companies or for companies that want to keep the processes as lean as possible or the structure does not require it.

Delivery

The delivery represents the delivery to the recipient and is therefore very similar to the self-collection. The delivery also starts with the selection of the recipient. In addition to the recipient number and the recipient name, it is also possible to filter by department. As with the self-pickup, only recipients for whom assigned shipments are in the system are displayed here. After selecting a recipient, the software displays all shipments that are available for the recipient. After scanning the shipment number again, the delivery can be completed with a signature.

In addition to the normal delivery to theOriginal receiver there is also in the deliveryReplacement receiver,Refusal to accept andnot found. If Replacement receiver is selected, the name of the replacement receiver is recorded as plain text in addition to the normal signature. A refusal to accept is done by a signature and selection of the packets which are not accepted. If you select not found, the COSYS software can send a fixed signature to the replacement receiver.Parking permit The parking location is then recorded with the integrated photo function and a comment by the deliverer. Without a parking permit, the deliverer has the option of taking the parcel back with him and documenting this directly in the software.

Web Desk Functions

With the COSYS WebDesk you see all data of the system and manage them. This means that in the WebDesk, in addition to the administration of users, their rights and the management of master data (recipients, forwarders, senders...), you also perform the tracking of all shipments. The COSYS WebDesk offers you seamless tracking and clearly shows the current package status in the shipment tracking. In addition, it is also possible to accept stationary shipments via the WebDesk. In combination, the COSYS WebDesk and the mail distribution app are the perfect solution for digitizing your mail distribution!

Main menu COSYS WebDesk

The COSYS WebDesk is the central , through which you can not only trace all shipments, but also view, edit and add all other system data. After logging in with user name and password, you reach the main menu, which is reminiscent of a user-friendly Windows desktop. There you will find the modules described below.

Administration

Users, rights, clients and more can be found in the administration. You can view, edit and add them in the administration. Groups are used to assign certain rights to users. For example, a trainee group could be given a restricted view of data and not be allowed to edit anything; entire modules can also be blocked. Clients can be used to separate data from different companies so that you always have an overview.

Master data

In the master data, you will find data such as recipients, senders, forwarders, comments (e.g. for returns or photo capture), packaging units (shipment types) or storage locations. Here there is also the option to store a delivery permit for recipients, this is then displayed in the outbound delivery on the mobile device. You can add new data, edit and delete existing data in the master data. With the help of the predefined comments and the always up-to-date master data, it is easy for mobile users to enter shipments and document the package process without gaps.

Package Management

Parcel management is the heart of mail distribution, because this is where all the data comes together. The data that is recorded via the mobile app is clearly displayed in the COSYS WebDesk. You will find all parcels with current status and further information such as signatures, photos, recipients and shipment history. With the help of the filter fields and columns, you can search and sort all data as you wish. COSYS Package Management makes your daily work easier and provides an overview and the digitization of your incoming mail books.

History

The history of a shipment can be easily accessed by right-clicking in Package Management. It provides you with theentire course of a shipment includedPhotos andSignatures displayed. Even the user who processed the shipment is displayed per process step. This tracking eliminates misunderstandings and makes each package process unambiguous.
